1. Introduction
bookoya ("we", "our", or "us"), operated by PYRA (BRN I26007046, Petit Verger, Saint Pierre, Mauritius), provides an appointment booking assistant that lets clients book with businesses via WhatsApp, Telegram and the web. This Privacy Policy explains what information is collected, how it is used, and how it is protected.
The business you book with is responsible for your booking information (who you are, your appointments and your messages about them). bookoya provides the booking service on the business's behalf and only uses your information to run it.
2. Information We Collect
- Phone number — on WhatsApp, your number identifies you during a conversation and is linked to your booking. On Telegram, you are asked for a phone number when you book (shared from your own Telegram account, or typed by you) so the business can contact you about your appointment.
- Telegram account ID — on Telegram, your chat ID identifies you during a conversation and is linked to your booking.
- Name — provided by you during the booking flow (required to book) and included in your appointment record.
- Web booking page — if you book on the business's web page we collect your name, phone number and whether you agreed to messages; your IP address is used briefly to limit abuse (rate limits) and isn't stored with your booking. The page sets no tracking cookies.
- Message content — the text messages you send to the bot are processed to understand your intent (book, cancel, reschedule). Message content is not stored permanently beyond what is needed for the booking record.
- Appointment details — service requested, date, and time of your booking.
3. How We Use Your Information
- To create, confirm, update, or cancel your appointment.
- To send you appointment reminders via the same messaging channel you used to book. Reply STOP at any time to stop reminders from that business, and START to receive them again. We keep a record of when you opted out or back in, so your choice is respected. Messages about changes to an appointment you already have (for example, if the business cancels it) are still sent.
- To allow the business you booked with to view and manage your appointment.
4. Data Sharing
We do not sell your personal information. Your data is shared only with:
- The business you are booking with — they can see your phone number, name, and appointment details.
- Google Calendar — appointment details are added to the business's Google Calendar on their behalf.
- Anthropic (Claude AI) — if the business has enabled AI-powered intent detection, the text of your messages may be processed by Anthropic's API to understand your request. No personal identifiers are included beyond the message text.
- Meta Platforms — messages sent via WhatsApp are delivered through Meta's Cloud API infrastructure.
- Telegram — messages sent via Telegram are delivered through Telegram's Bot API infrastructure.
5. Data Retention
Booking records are retained for as long as the business account is active. Conversation state (in-progress booking sessions) is stored in a temporary cache and expires after a period of inactivity. System logs are automatically deleted after 4 days.
6. Your Rights
You may request deletion of your booking records by contacting the business you booked with directly, or by contacting us at the address below. We will process deletion requests within a reasonable timeframe.
7. Security
All credentials and sensitive data are stored encrypted. Communication between your messaging app and our servers is secured using HTTPS/TLS. Webhook payloads from Meta and Telegram are cryptographically verified before processing.
8. Changes to This Policy
We may update this Privacy Policy from time to time. The "Last updated" date at the top of this page reflects the most recent revision.
9. Contact
To see, correct or delete your information, or for any question, contact the business you booked with. They can ask bookoya to export or erase your data. Reply STOP in the chat at any time to stop reminders.
